Job Summary
We are seeking an experienced and proactive Administration Manager/Supervisor to oversee office administration, manage government-related procedures, and support business operations. The ideal candidate will have strong office management capabilities, experience in registering and managing government tendering platforms, and the ability to act as a Public Relations Officer (PRO) by following up on all government transactions and approvals.
Key Responsibilities

Office Administration & Management
  • Oversee daily office operations and administrative functions.
  • Develop and implement administrative policies, procedures, and systems.
  • Manage office supplies, equipment, maintenance contracts, and vendor relationships.
  • Coordinate meetings, business correspondence, and document management.
  • Maintain company records, files, and confidential documents.
Government Tender Registration & Management
  • Register and maintain company profiles on government procurement and tendering portals.
  • Monitor tender opportunities and ensure timely submission of required documents.
  • Coordinate with management regarding tender requirements, renewals, and updates.
  • Prepare and maintain all documentation required for tender participation and compliance.
PRO & Government Liaison Responsibilities
  • Act as the company's PRO and primary liaison with government authorities and regulatory bodies.
  • Follow up on pending transactions, approvals, permits, licenses, and government applications.
  • Coordinate visa processing, labour and immigration-related documentation when required.
  • Ensure timely renewal of trade licenses, company registrations, permits, and other statutory documents.
  • Maintain good relationships with government entities and ensure compliance with UAE regulations.
General Administrative Support
  • Prepare reports, correspondence, and presentations for management.
  • Coordinate travel arrangements and business logistics when required.
  • Assist management in special projects and operational initiatives.
  • Ensure smooth communication between internal departments and external stakeholders.
Requirements
  • Female Arabic-speaking candidate.
  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum 3-5 years of UAE experience in administration, office management, and government-related procedures.
  • Proven experience in registering companies on government tendering and procurement systems.
  • Strong knowledge of UAE government processes and documentation requirements.
  • Experience handling PRO responsibilities and following up on government transactions.
  • Excellent communication skills in Arabic and English (written and spoken).
  • Proficient in Microsoft Office applications and online government portals.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Valid UAE driving license is an advantage.

  • Well-organized, proactive, and detail-oriented.
  • Ability to work independently and handle multiple priorities.
  • Strong coordination and relationship management skills.
